Notice of Extraordinary General Meeting 

 Dear Members,

This year we began the important task of updating our Club Constitution. The Constitution sets out how our Club is run and provides the foundation for good governance.

Our goal has been to bring it up to date with modern legislation and workplace practices, and to simplify the wording so it’s clearer and easier to understand.

Earlier in the year, some of you took part in our Constitution Workshop, where the key areas for improvement were discussed and agreed. Since then, the Board has worked through the feedback and finalised the revised Constitution.

The updated document has now been approved by the Board and is ready for members to review and vote on at an Extraordinary General Meeting (EGM).


Notice of Extraordinary General Meeting

This notice provides the required 21 days’ notice to all members.


Purpose of the Meeting

To consider and vote on the adoption of the updated Club Constitution.


Summary of Key Changes

  1. Board Composition – Reduced from nine (9) directors to seven (7) directors.
    • Why: A smaller board better reflects the size of our golf club and makes for a nimbler board & more decisive decision making
  2. Office Holders – Reduced from four (President, Vice President, Captain, Vice-Captain) to three (President, Captain, Treasurer).
    • Why: With a smaller Board, we believe it’s best to have more general directors, while still allowing office holders to delegate responsibilities if needed.
  3. Term of Office – Directors to serve a three year term
    • Why: The current system requires all director to vacate their positions and renominate every year.  This creates instability and loss of club knowledge & expertise.
      Moving to a triennium system;  elections will still be held every year with one third of the board required to vacate their positions and renominate.
  4. Tenure – Directors may serve up to six (6) consecutive years (two terms of three years), after which a two-year break is required before re-nominating.
    • Why: This keeps a healthy balance between new ideas and experienced leadership.

5.   Electronic Voting & Attendance – Members can vote and attend meetings online.

  • Why: This makes it easier for everyone to take part, even if you can’t be at the Club in person.
